The other day, I was searching for an email on my computer and couldn’t, for the life of me, figure out where it was. I couldn’t remember who had sent it and couldn’t guess enough of the words inside it to get it to show up. As annoying at it was for me to try and figure it out, I couldn’t help but wonder what it would be like to try and find an asset record without the tools ManagerPlus has to organize your assets. Today, let’s look at the different ways ManagerPlus can help you find, organize and implement asset maintenance.
Entities are exclusively available as part of our Enterprise asset management software software edition. They are used to separate security clearance between different branches of an organization. This is not usually used for different departments, but actual branches of an organization, typically with different locations. This level of organization helps you with security. It makes sure that only the right people can see and access your assets. This helps ensure that once you’ve organized your assets, they stay organized.
Groups are where most of your location-based organization is going to occur. Within ManagerPlus, groups are like folders that represent physical locations or departments within your organization. This is incredibly useful for being able to find your assets. ManagerPlus also allows for the creation of groups within groups. This means you can be very specific in how you organize your assets. If you want to show that an asset is in the Northeast section of the 3rd floor of the Manchester building, the ManagerPlus platform can create different groups for each of those.
Using groups allows you create a very clear distinctions about where your assets reside within your organization.
Parent and Child Assets
Some assets are linked to others. This could be a flatbed trailer that a particular semi-truck always hauls, or a snowblade assigned to a particular truck. When an asset is related to another one, there should be a way to show that relationship. In ManagerPlus, we allow you to do this with Parent and Child relationships. This has a double positive effect.
First, this allows you to schedule PM work orders for those assets together. After all, it just makes sense to do the work together while one of the assets in down for maintenance.
Second, you can find those assets together. When you see a parent asset, it will include a list of child assets that belong to it. You can also see the parent of an asset (if it has one). This relationship ties those assets together in both maintenance and in organization.
Categories are used to give a general classification for the asset. This is useful because it allows you to sort your assets into cases where they share many characteristics. This is useful because many maintenance tasks are specific within a category. Examples of categories include: Air Transportation, Dock Door Plates, Generators, HVAC Equipment, Presses, Pumps, Test Meters, Service Equipment, Vehicles, and more.
Types are smaller that categories and are used for specific PM schedules which are assigned as soon as a type is determined. Types are useful because they allow even further specification of assets.
For example, within the Vehicles Category, you could have Types like Trucks, Service Vans, Tractor-Trailers, Police Cruisers, etc. Within the HVAC equipment category, you could have types like Furnaces, Swamp coolers, Central air systems, Ventilation fans, Air ducts, etc.

When all these different classifications are put together, you end up with a very robust system that will make sure your assets are extremely well organized with zero equipment downtime, and never lost in the weeds.
